Administrative Assistant
JOB DESCRIPTION
The Transportation Institute, a maritime trade association,(www.trans-inst.org) is looking for a new Administrative Assistant to work in our Seattle office.
Frequent Duties
- Research and monitor maritime-related news, legislation, data, and history
- Compose memos, letters, and emails on behalf of the director
- Maintain and update Outlook calendar and contacts
- Organize and maintain computer files and folders
- Arrange travel (online with Expedia, Orbitz, etc.)
- Prepare activity and petty cash reports for submission to East Coast office
- Maintain petty cash account
- Problem solving
Additional Duties
- Assist with planning and publicity of events involving the Transportation Institute
- Advise on social media opportunities and media strategy
- Produce printed materials for events and meetings
Office Management duties include:
- Phone reception
- Light bookkeeping (petty cash checking account)
- Filing
- Office equipment maintenance
- Ordering supplies
Computer maintenance/troubleshooting duties include:
- Monitor computer security issues
- Install any new software or equipment
- Call tech support to assist with large problems
Required Qualifications
- Must be an undergraduate attending college
- Must be able to work minimum of 6 hours a week in the morning
- Strong attention to detail skills and self-starter mentality
- Ability to communicate via email and telephone and deal with ambiguity
Desired Qualifications
- Experience with basic office duties
- Solid background in PC computers and applications
- Basic Knowledge of Microsoft Office software
