We are excited to be hiring two undergraduate positions that are a core part of the CSF team and ae asking folks to spread the word to undergrad students. A few key things to keep in mind when sharing the roles:

 

  • Due to the extensive training involved in these roles we are looking for students who are graduating in June of 2027 or later (basically able to commit at least two full years in the position). 
  • We have structured the roles to have some mentoring time with our current coordinators and plan to pay students using a stipend for that shadow period in the event they have other part-time work that they are concluding by the end of the year.

Who we are
The Campus Sustainability Fund is a student-run and student-funded program at the University of Washington working towards a justice-centered sustainability movement. We represent the outcome of a five-year student movement (2004-2009) that fought for student influence and ownership of building a sustainable campus. We strive to model the power that building resilient, justice-based systems have in actualizing our climate future – moreover, when students are given the resources and opportunities, we can lead solutions. We look to individuals across disciplines and invite those not in traditional “environmental” disciplines to find their belonging in our collective effort for justice, health, and well-being.
Our core team consists of four members: a Program Director (staff), an Associate Program Director (grad), an Outreach and Education Coordinator (undergrad), and a Grant and Project Coordinator (undergrad). Additionally, our Committee—made up of eight undergraduate and graduate students—serves as our governance body, guiding our educational initiatives, and making funding decisions on grant projects. *The Campus Sustainability Fund (CSF) exercises a horizontal leadership structure that distributes decision-making and responsibilities among team members, promoting student empowerment, shared knowledge, and open communication. Our goal is to nurture an environment that invites everyone to contribute, fosters growth, and enhances team cohesion. Duties & Responsibilities
The Grant and Project Coordinator is focused on supporting CSF-funded projects throughout their lifecycle—serving as the expert and primary point of contact in our grantmaking process and supporting existing student-lead projects to successfully implement their intended objectives. This role offers a unique opportunity to engage with multiple sustainability initiatives across campus while gaining hands-on experience in project support, management, and communication.
The Grant and Project Coordinator will be a team player working closely with the Program Director to manage the CSF projects, as well as a self-starter with strong collaboration skills and the ability to communicate effectively with students, faculty, and staff. This role requires strong project management skills, attention to detail, and the ability to prioritize tasks while adapting to changing needs. Creative problem-solving and consensus-building are essential, along with a commitment to advancing CSF’s equity and justice goals. Additionally, the candidate should have basic skills for presenting to both small and large groups.
Project & Student Engagement [55%]
● Serve as one of the primary points of contact for all active CSF-funded project teams.
● Proactively build relationships with existing and prospective project teams on campus. ● Provide guidance and resources to project teams during grant writing, implementation, management, and closeout, while recognizing that student project teams hold valuable lived expertise.
● Prioritize CSF project needs and actively communicate with & advise teams based on indicators from project check-ins.
● Actively track CSF project progress, help teams troubleshoot challenges, and provide project management support and mentorship.
● Work closely with the CSF Program Director to bridge communications between campus partners and student project teams.
● Work to connect project teams with CSF support networks (faculty, admin, community resources, etc.).
● Synthesize resources and opportunities across disciplines and departments that may impact project teams.
● Assist in the solicitation and vetting of project proposals from UW students, faculty, and staff.
● Monitor applicant submissions and communicate status to project leads.
● Serve on a small team where there is large capacity for you to learn and grow.
● Gain public speaking and presentation skills through presenting at regional and national conferences on behalf of CSF.
● Expand your professional network with colleagues from UW and beyond who are invested in sustainability and equity.

Project Administration & Operations [25%]
● Collect project reports from active CSF projects.
● Help projects obtain required approvals, connect to resources, and improve viability of successful implementation.
● Notify projects at various points throughout the application process and schedule required meetings.
● Organize project-related submissions and forms in CSF databases.
● Manage and update project database and web-based project portfolio, centering digital accessibility and useability.
● Forward CSF project information to the Committee by required deadlines.
● Assist in the production of yearly reports to our funding bodies (SAF, STF).
● Assist the CSF Program Director with various administrative tasks, including data entry, process tracking, and Google Drive organization.
● Collect and organize accurate project data and record key metrics to support crucial and high-visibility external communications and reporting.
● Utilize various data sources and technologies, such as GIS and Tableau, to visualize project-related data.
● Create, adapt, and actively update project management tools.
● Respond to emails within 48 hours in a professional, thoughtful, and comprehensive manner.
● Propose and lead special projects that support justice-centered sustainability, including collaborative mentorship with CELE interns and undergraduate capstones.
CSF Committee & Campus Coordination [20%]
● Attend CSF Committee meetings and inform members on project updates, provide context for proposals, and contribute relevant info to Committee discussions.
● Act as a liaison between the CSF Committee and project teams, relaying questions and information between the two.
● Assist in maintenance and necessary revisions of the grant application portal and grant application processes.
● Carry through on strategic initiatives autonomously and as assigned by the CSF Program Director.
● Assist the CSF Associate Program Director and CSF Outreach & Education Coordinator in developing inclusive outreach strategies to broaden CSF’s engagement on campus.

QUALIFICATIONS
Required
● Full or part-time undergraduate student status at the UW–Seattle campus during the academic year. *Given the extensive training involved in this role, we are seeking candidates graduating June 2027 or later who can commit to at least two years in the position. The selected candidate will be hired alongside our Outreach and Connections Coordinator and will be mentored by the outgoing coordinator to ensure a smooth transition.
● Interest in cultivating sustainability both on UW’s campus and beyond.
● Desire to work with diverse partner groups and ability to connect with those outside your held identities.
● Understanding of the intentionality behind building trust and a desire to cultivate reciprocal relationships for increased collective impact.
● Work experience in related positions or with related functions.
● Skilled in written and oral communication, presentation, analysis and project management.
● Excel at advocating for collective success and building trust-based relationships founded on mutual value.
● Like working with both numbers and people.
Desired (all of these can be taught, we want to grow with you)
● An understanding of environmental justice, concepts of inequity of disparities, or the disproportionate impacts of the climate crisis on frontline and BIPOC communities.
● Cultural humility with an intersectional lens, with an understanding of how power, privilege, and oppression shape experiences.
● Previous project management experience.
● Data management or analysis experience.
● Grant writing or experience with crafting applications.
● Experience with information/data visualization (e.g., Tableau, Canva, PowerPoint).

Ideal start date: April 21st 2025
● Shadow period: (April 21st, 2025 - June 13th, 2025) up to 15 hours/week
○ Please note that the shadow period will be paid via stipend to ensure inclusivity for individuals who currently hold an academic job on campus and are interested in working with CSF.
● Summer 2025: 10-20 hours/week (remote mostly)
● Academic term: 19.5 hours/week, workdays & times flexible
Location: Hybrid, must be able to commute to UW-Seattle Campus for required in-person meetings. CSF workspace is in the UW Sustainability office at Gerberding Hall.
Duration: Spring 2025 - June 2026. If student status and eligibility are maintained, continuation and renewal will be based on review of position performance.
Summer 2025: We typically encourage summer breaks for special projects, continuing education, and rest. This first summer will include onboarding and additional training so candidates should have some in-person availability during this three-month period (June-Sept). Work is between 10-20 hours (remote mostly) to read, learn, and get grounded!
Compensation: $22 per hr
